WHO WE ARE

New Voices in Japanese Studies (NVJS) is an open-access, peer-reviewed academic journal for emerging researchers with ties to Australia and New Zealand. Our website address is https://newvoices.org.au.

NVJS operates in the Australian jurisdiction under Australian information and privacy law, including the Freedom of Information Act 1982 and the Privacy Act 1988.

NVJS is published by The Japan Foundation, Sydney, a non-profit cultural organisation established by the Japanese government to promote cultural and intellectual exchange between Japan and other nations. The Japan Foundation, Sydney office is located at Level 4, Central Park, 28 Broadway, Chippendale, NSW 2008, Australia.

WHAT PERSONAL DATA WE COLLECT AND WHY WE COLLECT IT

New Voices in Japanese Studies collects information from website users for the purposes of improving our site and allowing or increasing access to our services.

Website analysis (analytics cookies)

This website uses cookies. They do not make your computer perform any actions or make your computer send information to any other computer via the internet. NVJS makes no attempt to associate cookies with users’ names or identities. Our servers cannot find out your name or email address, or anything about your computer, by using cookies. This means that no direct personal information will be attained.

NVJS uses cookies to understand how the NVJS website is being used and improve the functionality of the site. We do this via the metrics system in the third-party content management system that we use to create the site (WordPress) and Google Analytics.

The following anonymous information is automatically collected by cookies when users enter the NVJS site:

  • date and time of visit, pages accessed, documents downloaded
  • geographical location at time of visit
  • previous site visited
  • internet browser used
  • operating system used

Data of this nature is used to generate statistics and analysis on how the NVJS site is being used, which is then used by NVJS to optimise the site where possible.

NVJS collects personal information via the following forms on this site:

  2. Review Proposal Form
  3. Reviewer Database Form

This information is only collected from users who actively complete and submit forms, and it is used by NVJS solely for the purpose indicated to the user on the site. NVJS uses a third-party plugin (Formidable Forms) a third-party content management system (WordPress) to generate the embedded forms on this site.

Newsletters

NVJS collects personal information (email address) via its newsletter subscription form for the purpose of subscribing users to newsletters and managing its newsletter database. This information is only collected from users who actively complete and submit the subscription form and is used by NVJS solely for the purpose indicated to the user at the point of sign-up.

NVJS uses a third-party content management system (Mailchimp) to create and distribute its newsletters. When a user subscribes to the NVJS newsletter, MailChimp collects the personal information that subscriber voluntarily provides via the subscription form, which is embedded from Mailchimp.

MailChimp uses cookies and similar tracking applications to collect information such as when users access newsletters, and the internet browser and operating system used. Details about the information MailChimp collects can be found in the MailChimp Privacy Policy and Terms of Use. Mailchimp uses this information to analyse the performance of newsletters, thereby enabling NVJS to create and distribute more effective communications.

MailChimp may disclose this information to its contractors or third parties who to allow MailChimp’s features to work, or where they are obligated to do so by law.

MailChimp is based in the United States of America (USA) and abides by the laws of that jurisdiction. Information provided by subscribers, including your IP address, will be sent to and stored by MailChimp’s servers located outside of Australia.

By subscribing to the NVJS newsletter, you:

  • consent to your personal information being collected, used and disclosed as set out in the above terms and conditions, and in the MailChimp Privacy Policy and Terms of Use;
  • agree to your personal information  being transmitted and stored overseas, and acknowledge that MailChimp is not subject to the Australian Privacy Act;
  • acknowledge that NVJS is not responsible for MailChimp’s privacy policy.

Subscribers can opt-out of the NVJS newsletter at any time by clicking the ”unsubscribe” link at the bottom of any newsletter directly received from MailChimp.

Note on embedded content from other websites

Embedded content from other websites behaves in the exact same way as if the user has visited the other website. These websites may collect data, use cookies, embed additional third-party tracking, and monitor interaction with embedded content.

Who we share your data with

NVJS will never disclose personal information collected through the NVJS newsletter subscription form and other online forms to third parties, and will only use this information for the purpose specified on the form at the time that the information was submitted. Messages submitted through contact forms may be checked by an automated spam detection service.

HOW LONG WE RETAIN YOUR DATA

For users that subscribe to our newsletter, we store the personal information provided for as long as you remain subscribed. NVJS web administrators (internal only) can also see and edit that information. Newsletter subscribers can see and edit their personal information at any time on the Mailchimp platform via the ”Update your profile” link at the bottom of newsletters that are sent to them directly. Users can also unsubscribe from the newsletter (and thereby delete their details from our subscription database) at any time via the ”Unsubscribe” link at the bottom of newsletters that are sent to them directly.

For users that submit personal information via a form on our website, the information is stored indefinitely on The Japan Foundation, Sydney’s secure servers and within the NVJS web platform (WordPress) as part of NVJS’ administrative records for as long as it is relevant for NVJS‘ operations. NVJS web administrators can see information submitted via forms on the NVJS site.

WHAT RIGHTS YOU HAVE OVER YOUR DATA

If you have subscribed to our newsletter or submitted your details via any other form on this site, you can request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal or security purposes.
